Privacy Policy

How Code Hub Digital handles personal information submitted by website visitors and prospective clients.

Last updated: August 2026

Introduction

Code Hub Digital respects the privacy of people who visit this website, explore our services or contact us about a potential project, quotation, consultation or other enquiry.

This policy explains the categories of information involved, why that information may be used, and the choices available to individuals. The information involved depends on how you choose to interact with the website.

Information We Collect

The website collects information that you choose to provide through its enquiry forms.

  • Full name and email address
  • Phone number, where supplied or required for the selected contact method
  • Company or organisation name
  • Company website or LinkedIn URL
  • Services or AI capabilities of interest
  • Project descriptions, requirements and additional information
  • Budget and expected-timeline selections
  • Consultation topics and preferred communication method
  • AI business problems, intended audience, integrations and knowledge-source information
  • General enquiry subjects and messages
  • The privacy acknowledgement associated with an enquiry submission

Technical and Security Information

Limited technical information may be processed by the website’s hosting, networking or security infrastructure where necessary to deliver requests, maintain availability, diagnose failures, prevent abuse and apply enquiry rate limits.

Code Hub Digital does not currently use the public website to create customer accounts, process payments or collect newsletter subscriptions.

How Information Is Collected

Information is provided voluntarily when a visitor uses Start a Project, Request a Quote, Request a Consultation, AI Enquiry or General Enquiry.

The website may also process limited request and security information automatically through the infrastructure needed to operate and protect the site. This is separate from information deliberately entered into an enquiry form.

Why We Use Information

Code Hub Digital uses enquiry information for legitimate business and operational purposes connected to the visitor’s request.

  • Responding to enquiries and follow-up questions
  • Understanding business problems and project requirements
  • Preparing quotations or proposals where requested
  • Arranging and preparing for consultations
  • Evaluating whether a potential project is suitable for Code Hub Digital
  • Communicating with prospective clients using their selected contact method
  • Maintaining appropriate enquiry and business records
  • Operating, securing and troubleshooting the website
  • Preventing spam, automated abuse and misuse of enquiry services

Enquiry Processing and Storage

Website enquiries are sent to a secured Code Hub Digital server-side enquiry endpoint. The endpoint validates the request before forwarding an approved lead record to the existing enquiry service.

Enquiry records are stored using Supabase infrastructure so that Code Hub Digital can review the request and respond appropriately. Security controls and rate limiting are used as part of the enquiry process, but no online system can be guaranteed to be completely secure.

AI Enquiries

An AI Enquiry helps Code Hub Digital understand a prospective client’s business problem, process, intended users, systems and possible information sources. Submitting this initial enquiry does not mean that an AI system has been designed, deployed or connected to the organisation.

Please avoid including passwords, payment-card information, unnecessary confidential material, highly sensitive information or personal information that is not needed to explain the initial business requirement. Information-governance and solution-specific processing requirements should be considered separately if a project proceeds.

Information Sharing and Service Providers

Code Hub Digital may rely on service providers that are necessary to host, secure and operate the website and enquiry infrastructure. Those providers may process limited information in performing those services.

Supabase currently provides database and related backend infrastructure for enquiry storage. Hosting and network providers may also process technical request information. Their processing is subject to their own applicable terms and privacy practices.

Code Hub Digital does not sell personal information as part of the current website or enquiry business model. Information may nevertheless be disclosed where reasonably necessary to provide an agreed service, comply with an applicable legal obligation or protect legitimate rights and systems.

Data Security

Code Hub Digital uses reasonable organisational and technical measures appropriate to the nature of the website and enquiry information. These include server-side validation, controlled backend submission, request-size limits, rate limiting and restricted handling of server credentials.

Security risk cannot be eliminated completely. Visitors should therefore avoid submitting information that is unnecessary for the initial enquiry.

Data Retention

Enquiry information should be retained only for as long as reasonably necessary to respond to the enquiry and for applicable business-record, legal, contractual or legitimate operational purposes.

The appropriate retention period may depend on whether an enquiry develops into a quotation, consultation, project discussion or service relationship. Code Hub Digital has not stated a single fixed retention period for every enquiry category.

Your Choices and Rights

Subject to applicable South African law, including the Protection of Personal Information Act where relevant, individuals may ask about appropriate access to, correction of or deletion of their personal information.

A request may be considered in light of identity verification, applicable legal requirements and legitimate business-record or retention obligations. Providing optional information is voluntary, although omitting required information may prevent an enquiry from being submitted or answered effectively.

Third-Party Links

The website may link to external websites or services. Code Hub Digital does not control those third parties and is not responsible for their content, security or privacy practices. Visitors should review the applicable notices of any third-party service they choose to use.

Changes to This Policy

This policy may be updated as the website, enquiry services, infrastructure or applicable requirements evolve. The last-updated date on this page will be revised when material changes are published.
